I tried some app similar in the past, but it was incredibly time-consuming to the admin, and it looked more like a control mechanism than a team collaboration tool.
2. email to task i wonderful (this also works with IMAP type of emails?) - any specific settings or app needed i.e. outlook to work ok?

You don't need any extra settings for the "email to task" feature to work. Just follow the steps outlined in this support article:
