Puzzle is appreciated for its exceptionally quick deployment, intuitive design, and cross-department clarity. However, there are occasional workflow shuffling bugs and a lack of multi-select with click and drag. With an overall 5-star rating and a 60-day money-back guarantee, Puzzle is a solid buy for those in need of turning messy processes into clear diagrams.

Pros -
Exceptionally Quick to Deploy: Built numerous processes within a day without any training meeting, before training even occurred, genuinely quick to deploy and simple to use from the start.
Delivers Years of Backlog in Days:
Created complete workflows for onboarding, account planning, and offboarding in a single day between meetings, something that wasn't delivered previously after much longer timeframes.
The GPS Businesses Were Missing:
Works as a living map showing where you are, where you're going, and how everything connects, makes operational reality visible instead of mysterious.
Makes Process Improvement Actually Stick:
Operationalises improvements so they deliver sustained real results with measurable benefits, not just theoretical changes that fade away and get forgotten.
Intuitive Design with Excellent Help:
Interface is intuitive, and help documents are useful, quickly accessible, and "far more complete and practical than most products."
Provides Cross-Department Clarity:
Makes processes spanning multiple departments visible and understandable to everyone involved, instead of siloed knowledge.
Identifies Automation Opportunities:
Clearly shows which processes can be automated to save time and money, with the ability to calculate actual savings.
Finds Documentation and Training Gaps:
Reveals processes lacking proper training and support documentation that need attention before they cause problems.

Cons -
Workflow Shuffling Bug:
Occasionally, shuffling the workflow to create space resets with all steps stacked on top of each other, requiring complete re-organisation.
No Multi-Select with Click and Drag:
Must hold shift or option and click steps one at a time—no shift+click+drag to capture multiple steps efficiently like most software.
Workflows Stick to Left Side:
Forgetting or adding a step to the left side without space requires many annoying clicks to reorganise, creating unnecessary friction.

Well-thought out tool with huge promise
It's a long time since I dived into an AppSumo product and had a grin from ear to ear within a few minutes. Most of the reviews I've read I agree with.
As a user, I'm someone who wants a visual way of communicating process workflows, including at least some of the branching and filtering going on inside automation systems - or for instance where they exchange or update other data sources. Here's my two penniesworth:
Pros:
- Really clear structure in the form of Workflows, Teams, People and Tools. I didn't need to watch any onboarding material, it all felt very logical to me and a bit of experimentation revealed the less obvious stuff like how to use Roles.
- That said, you can see there is plenty of onboarding guidance built in.
- Very quick process diagramming is possible, and it's very easy to read the results.
- It's structures may feel limiting but they keep you on the right path - when you're in Visio or Miro it's so easy to start mixing the information you add to each panel and so on.
- So many useful little shortcuts likle the color-coding you can choose for your common tools
The drawback:
- It's so compelling that you just want it to be more feature-laden. I found myself wishing I could add more information to the Step cards visible in the main window; to import automation workflows from tools other than Make and so on. The more you use it, the more it feels like it's missing things, because the basic product is THAT GOOD that it feels like it should have more. I want more!
Some little wishes:
- resizable cards. I get that it starts being more like a generic drawing package then, but perhaps to keep the lovely style consistency you could toggle "bigger" versions of cards with images and links more easily accessible in situ. I found myself wanting to drop in screenhot thumbnails. At the very least, the facility for the Step titles on the cards to be hyperlinks, and to have a wee subheading or details field in a smaller size.
- Placing graphics on the background (especially resizeable SVGs or the like)
- An easier way to chamge the nodes the connecting lines connect to (or I may just need to watch a video)
Really great work - it's been cooking a while, and I'm interested to see how it progresses. V happy I went for Tier 3.

Nov 28, 2025Hey Tim! Thank you for your stellar review 🙌 You and I both share the existential need to visualize a process to communicate it.
Re: Your drawback: 🫡 This is the best drawback I could ask for! Good news is that there is more coming very soon, and also for a very long time. Our team has so many more tricks up our sleeve to make your process diagrams incredibly insightful and dynamic across the...

Quick to deploy, simple to use
We’re a small service business in the process of building our own CRM, so the offer for this app came at an opportune time. After purchasing, I sent it to my process stakeholders, along with the help documents and a general overview of what I hoped to accomplish without a training meeting or walkthrough. Within a day, my team had built numerous processes before the training meeting even occurred. Puzzle provides clarity on processes that span multiple departments, opportunities for automation, and finding processes that lack training and support documentation.
Pros:
- Easy: Intuitively designed and simple to use. Shortcuts make a simple workflow faster. Being able to define who is responsible, along with the programs used for the steps, is where Puzzle shines. The help documents are useful and quickly accessible.
- Conditional color coding - allows you to define the conditions so you can track what steps are automated or who is responsible across a workflow
- Alias and ‘go to’ steps to reference or jump to processes already written to keep repetition minimal
- tracking properties and assets that are passing from program to program via automation
Cons:
Only a few minor bugs that I imagine will get ironed out over time:
- Occasionally, I shuffle around a workflow to create more space & it resets itself with all the steps stacked on top of each other.
- there’s not a click and drag (suggestion: shift+click+drag to capture multiple steps?) to capture numerous steps (you have to hold shift or option and click one at a time) and the workflows stick to the left side of the section box, so if you forget or want to add a step to the left side of your flow and you don't have the space, it can take a lot of clicks.
Owners are responsive, the community is active, and they have a visible roadmap of upcoming updates.
Puzzle has quickly become an essential part of my company’s future - I highly recommend it for mapping and organizing workflows across an entire organization.

Nov 25, 2025Hey R_Word, thank you for your detailed review 🙌 I love to hear that multiple stakeholders on your team joined and built consistently-formatted and easy-to-understand process documentation.... without training 🤯 🎉 !
RE: Bulk Select Steps with shortcut — ✅ There is a way to click and drag multiple steps to edit them. The shortcut you mentioned: SHIFT + Click + Drag is the way you do it! Here is...

Just what I've been wanting for years now
Puzzle is an exceptional business process mapping tool for modern times & ecosystems, and at an exceptional cost. The process maps in Puzzle are not 'abstract models' but instead connected to the technologies and solutions we use now. Creating process maps is smooth & the ability to set statuses of where you are with implementation is just gold.
The cost modelling is basic - perhaps a little too basic for what I need in some scenarios - but will still provide a reasonable degree of fiscal governance. Even basic financial modelling can help with prioritising new automations. The addition of AI-powered auto-documentation is good, and while it tends to 'over-explain' it is still easier to cut down AI-generated blather and write everything from scratch.
The vendor has a good number of tutorials and their help files are very good - far more complete and practical than most products I get through AppSumo. I've had the product for a day amd in between meetings (and during a few of the more boring ones) I put together three complete workflows (sections) relating to our customer onboarding, strategic account plannng, and offboarding... something I have been trying to get from the account team leads for over two years. Now I have a detailed visual flow I can show them, with clear areas where introducing new forms of automation would save a bucket load of time... and cash.
Where Puzzle fails is security. As far as I can tell, there is no MFA, and the sharing of maps is entirely open - anyone can see them if they have the link. That is terrible, because you'll want to share the processes with staff, but doing so risks exposing your organistion's innermost workings: an absolute honey pot for cybercriminals looking to understand what is in use in an organisation, the processes they can use for social engineering, and critical attack vectors. Puzzle is not just a design tool... it will literally lay bare the very innards of a business if it is breached. Seriously bad oversights. Hopefully, MFA and strongly enforced access rights will be added to the product soon. Currently, I cannot use the sharing feature. It's just too dangerous. I will also be limiting the technical information I'd like to add to it.

Edited Nov 20, 2025Thanks so much for the thoughtful review and for putting Puzzle to work so quickly—love hearing you mapped onboarding, account planning, and off boarding in a day 👏
On security: you're right to expect stronger control for MFA and more granular access settings (including invite‑only and org‑restricted sharing). The Public Shareable View feature was intentionally built to allow anyone with the...

Puzzle - The GPS my business was missing !
Not using Puzzle would be like going on vacation without a map or GPS.
This tool is the living map of my business. It helps me see where I am, where I’m going, and how everything connects together.
I had been looking for a solution that could not only document my current processes, but also visually model the systems I want to build. With Puzzle, I can design, refine, and visualize ideas before even implementing them. It’s a real space for strategic thinking.
The product itself is excellent ! Intuitive, powerful, and well thought-out. The support team is also fantastic: responsive, human, and backed by clear tutorials that make getting started effortless.
Honestly, Puzzle is a game changer.
Being able to visualize all my processes, tools, automations, and costs in one place completely changes how I manage my business.
I truly believe it’s an essential tool for any company or agency. Whether for organizing their own systems or helping clients build theirs.
It lets you see what works, what can be improved or automated, and how every part of your business connects.
In short, Puzzle isn’t just a tool, it’s the visual brain of my business.
Absolutely indispensable. 🌮🌮🌮🌮🌮
