Do you have plans to overhaul the look and feel of the app in the future? I tried out Weekplan when it was just starting out and liked its week-to-week task planning approach, but got turned off when it was redesigned. I am not at all a fan of the current UI.
Q: Week Plan looks very promising and seems exactly what I'm looking for!
My question is about calendar-integration:
I'm very concerned about privacy, that's why I'm using fruux.com (from Germany) for hosting my CalDAV-calendars. I have started a trial at Week Plan (using a secondary mail-address) and found integrations for Google and Outlook only.
I do understand, that many entrepreneurs and businesses are using these two, but is there any chance to integrate Week Plan with CalDAV-based calendars too?
This year I'm seeing more entrepreneurs switching from Google-Calendar to CalDAV-based solutions, since Google has announced that in June they will be cancelling all existing legacy-accounts who still use the gSuite for free (previous gApps users).
I think it will be good to support CalDAV protocol as an alternative. At least for me, this integration is critical. I would buy multiple codes as an investment, if I can be sure that you will support CalDAV.
Q: [Part1]
WeekPlan is THE app that most closely supports the way I work, so it's very interesting.
There is a lot that I like... ➕ freely selectable boards with editable column/list names ➕ the first subtask to the task is always displayed on the board as well ➕ there are different views (by roles or objectives) ➕ each subtask is a "full-fledged" task that can be assigned to boards or appointments
Weekplan is an app that I "want" to work for me, but have the feeling that it will not. There are some issues that keep me from being able to use it seriously:
However, maybe I just haven't understood some of the functions correctly, or maybe there are already solutions to them. If so, I would appreciate a reply.
Somehow I'm worried that I'll lose the overview, because there are not simply tasks on boards, but these tasks can also be entered in the calendar / or not, they can be HIT and thus assigned to Objectives / or not, they can be subtask belonging to parent task.
Yes, you can find that out if you look more closely - but somehow it all seems so scattered and "special".
When I have a task open, I can see which date or board it is assigned to, but I can't jump directly to the calendar entry or board.
And then there are the following issues....
Why or how can't I change the order of the HITs to the objectives or why aren't they displayed in the order they are sorted in the backlog? This results in a Gantt view that is unsorted and illogically arranged.
It is not possible to add additional information to tasks in the inbox! This is only possible after they are assigned to a board/list/objective?
You can assign a task to an objective, but it doesn't seem to be a HIT. It appears in the Objectives as a HIT, but it is not in the HIT list itself. If you assign a task from a board/list as HIT - then it disappears from the board. I don't find this so good and clearly solved.
The search is basically not bad and finds the tasks beyond all boards/objects etc.. It finds not only tasks but also the boards, lists etc. This is great. BUT: You can't then select and open a result of the hit list with the cursor keys - so you have to switch between mouse and keyboard all the time. You can't search for words in any order, you have to enter the words in the order they appear. It is not possible to filter the search result. So, the search result also shows already completed tasks (which is basically good), but if I am only interested in the open tasks, I cannot limit the search.
There are shortcuts but... (1) there should be more of them e.g. to call Schedule, Objectives and Backlogs and Boards or to cancel a task you are working on with ESC and save it with CTRL+enter (2) you can quickly create a task with "n" - but only in the inbox and not immediately select a board/list
I can't thank you enough for your super detailed feedback. Let me answer your queries.
1 - Overview
The best way to be on top of your week is via the Weekly Review that walks you through your entire week. And to understand how all these components work together, I highly recommend you to go through Methodology here - https://support.weekplan.net/knowledge-bases/4-documentation/categories/12-2-understand-the-methodology/articles
2 - HIT Orders
The way HIT's are added in the Backlog is a mere list of Tasks / HIT's you want to get done, and like a typical Kanban, you can drag it up-down, and across the lists. But as far as what you asked for, we have tried to segment HITs based on the different roles and objectives you have.
3 - Inbox
Yes, consider Inbox as a temporary placeholder/post-it/thought in mind. So let's say you are working on something and you get an amazing idea, you just add it to Inbox so you don't forget and continue with what you are doing. Once you are done with your existing task/activity, you can review your Inbox, and based on that idea/task in the Inbox you can give a thought process to it and then move it to objectives, schedule, etc. It is a way to protect the noise from your already planned schedule.
4 - Tasks in Objectives
An Objective can have smaller / less meaningful tasks and HITs at the same time, so you will see both separately. A regular task will "look like" a HIT in the Objective but you can segment if it plays a smaller or larger role in completing that objective (Regular Task or a HIT). As far as the disappearance of task after marking it as HIT, List is used to hold your tasks but HIT's are different and that is why they have their own place.
5 - Search
I'm not really following when you say you have to switch between mouse and keyboard but yes for the search filter, I have noted that down. Thank you for your feedback!
6 - Keyboard Shortcuts
Thanks for your feedback, we will look for adding more keyboard shortcuts as well.
7 - Additional Info with a task
Yes, the comments doesn't have any formatting capabilities but you can add a note/description of each task which includes different formatting capabilities (headings, code, font style, bullets, etc)
8 - Convert Task to Subtask
No, this isn't available yet
9 - Close Windows to Free up Space
Yes, this is kept deliberately as you can view your tasks / HIT's and your Weekly Schedule in one glance ( as an example)
10 - Start of day time and 24hr timeline in Calendar
Both of them seem to be working fine for us. If it still doesn't work for you, please reach out to us for support.
11 - Send email to create a task
You can add another email. Go to Account Settings > Email Addresses > and add a new email in Valid FROM email addresses. However, not sure what you mean by using other apps like Vono and BrainToss.
12 Mobile App
No, it should work, please reach out to us on support with the app (Android / iOS) you are using.
I really like the concept of your product! It looks like you covered all areas in order to manage time properly.
But I think the UX is a bit intimidating. There's a log going on in the screen. There's a lot of modules (different planners) for a beginner to understand.
Maybe a comprehensive guide or a simpler UI will solve this. I really see a huge potential in your product and look forward to your updates.
Thank you for your feedback. Actually, we had a gamified UI earlier where different areas (or you can say next in line features) were unlocked as you progress and learn the system. However, we found users were finding it difficult and their first impression was that the product is limited.
But I understand what you are saying and we will look for ways to make it simpler and strike the right balance.
May thanks for your interest in our product. Your feedback is gold for us! - Abbas
Unfortunately, it's not possible currently, but thank you for your suggestion, we will add it as part of our roadmap. However, you can add an outlook calendar in addition to 1 Google Calendar, if that helps.
Q: [Part 2]
Comments would have the potential to be used like a protocol.
That is, additional information about the task that accumulate over time. But unfortunately, it is not possible to enter long, formatted text as comments.
I have not found a way to assign existing tasks to other tasks as subtasks.
If you have a task open and want more space to see the board next to it and therefore close the task, this sidebar often stays open because you called the search before. You have to close all previously opened information windows in the sidebar until the window finally frees the space.
I have set the "start of day" as "personal preference" with 07:00 and still the schedule/calendar display starts at 00:00?
When creating appointments in the calendar via drag-and-drop, the currently selected time is not displayed in 24h mode (although this is enabled in the settings).
"Email to create a task" only works from the email address you are logged into Weekplan for. This is impractical for several reasons. First, you can't then use some Android apps like Vono or Braintoss. And you can't email a task to your inbox from your private account when you're on the go.
In the mobile app, the whole app blocks editing tasks (grayed out) as soon as I try to move a task on a board (hold down the task)? Is this a bug or am I doing something wrong?
WeekPlan is one of the most interesting apps I've tested regarding task management, and I wish you the best of luck with it.
Thanks a lot for your interest and purchasing Week Plan- I'm glad to hear that we had been on your radar for years :).
The way we developed Week Plan was for an individual or a single team. Though you can't (currently) create multiple teams but there is a workaround (not ideal though) for it.
To do this;
a - Create your account and invite your team (which you already did as you mentioned) b - Ask your team member to create a team on their account and invite others. You can also use another of your email to do this, in case you want the team to control directly under your account.
I know it's not ideal but will temporarily help you with what you are trying to achieve. Based on the Team-level response(s) we get, we will expand to add more team capabilities as well.
P.S. We are also making this deal stackable, which will enable you to buy codes for your team as well.
1 - Add your work G-Calendar with Week Plan 2 - Block out time by adding a task/event/focus time to your schedule 3 - Once done your colleagues won't be able to see /or book that time ( I assume your colleagues will use a scheduling tool like Calendly, which doesn't show already booked/scheduled time from your calendar on their booking page)
Let me know if I didn't answer your query or if you have more questions.
