The automation I was looking for
Ever since having a wife and two kids, I decided to automate as many chores as I can around the house and the business. While our business is now part of a bigger company, it's still the case the employees are expected to bring the receipts for purchases they make on behalf of the company, and being a tech company - our employees are at liberty to purchase programming and design tools that help that along the way. So at the end of each month, we have a tedious back-and-forth with our bookkeeper, where the marketing team collects a bunch of “big ticket” receipts and most other employees have an occasional SaaS, book, programming component that they purchased or signed up for. All of these purchases have to be accounted for, and many employees in the company, as far from the finance department as you can imagine, spend time fishing for these lost documents.
Wellybox automates this process in an unbeatable way - and I know that from experience. I, too, have played around with Gmail filters and rules, trying to automate our way out of this problem. The problem was twofold: (a) my home-brewed automation didn't actually work good enough to be worth maintaining, and (b) these rules had to be continuously replicated to all the employees in the company. Wellybox was simply the easiest way to solve this exact problem, and (so far) it works far better than anything I could have done, let alone maintain, by myself. It allows adding the employee's inboxes as well as my own, saving the company a lot of man-hours.
The bookkeeper can even have access to the account through the built-in "invite" feature, though we haven't set that up yet
The one downside for this solution is that the initial sync does take time - while the set up and first few docs took less than minute, in our case it took almost an hour to have the whole receipt history going back 2 years lined up. While we didn't mind the wait, the user communication there should be improved imho. The support team is very responsive and it is my understanding that the immense amount of data that the system goes thru is what this time is spent on.
Bottom line its a perfect tool for this chore.

One short comment regarding the repose time on the setup phase - some customers do not need to grab 2 years on history - if all you need is a 2-3 months back the initial documents' discovery usually takes much less time.
