UX feels illogical and key features are gated

It's hard to like Worklenz, as the UX design feels far from logical, especially during project setup.

The flow focuses on metadata like status, health, estimates, and categories before the purpose of the project is even defined. That’s the wrong order. A project should start with a clear goal and intent, then move into structure and execution, not the other way around.

Projects are driven by purpose, and different types of work (research, product, marketing) require different workflows. Here, everything is treated the same and pushed into configuration too early, which creates friction and breaks the natural way of working.

There are also structural gaps. File management lacks proper folder organization, making it harder to scale and manage assets inside projects.

On top of that, important features seem to be locked behind higher-tier plans without clear upfront visibility. Capabilities like client portals, finance tracking, and advanced scheduling are positioned as premium add-ons, even though they are core to real project workflows.

The UI looks clean, but the underlying UX logic is not aligned with how work actually happens. It feels built for tracking and reporting rather than thinking, planning, and building.

Overall: lacks a solid foundation. Needs a purpose-first setup flow, proper file structure, and clearer feature accessibility to be usable at scale.

A Project tools should help with a clear overview and control of the different process, what this is not!

Thank you for taking the time to share such a detailed and thoughtful review — this kind of feedback is incredibly valuable for us as we continue improving Worklenz.

You’ve raised a very important point about the project setup flow being too configuration-heavy upfront, and we agree that this can feel counterintuitive. Projects should indeed start with a clear purpose and evolve naturally into...

Perfect for me.

Here is my review of Worklenz.

I was looking for a simple, streamlined project tool that would deliver the results I wanted with just a few clicks. I have already ordered, used, and tested other project management tools. In another project, we use Nifty, which has also been introduced here before.

What makes Worklenz stand out is that I can gather all the relevant information in no time. Whether I need to quickly create tasks, view my developers’ worklogs, or get sufficient reporting for the moment, it’s all there. I can manage priorities and use other features, and if I want, I can dive deeper into the tool. So far, I’ve spent about a week with it and have found all the functions that matter to me.

The tool definitely has a lot to offer. It’s well-organized—not overloaded with thousands of tiny features, but a very good, reliable tool.

That’s why it gets five stars.

doesn't have a function to import leads via an Excel file

This is very embarrassing that this is a CRM, but it doesn't have a function to import leads via an Excel file

Excel import for leads is something we know matters a lot, and we're actually in the final stages of testing this feature right now. It will be available publicly very soon.

In the meantime, if you reach out to our dev team directly, they'll help you get your leads imported without any hassle.

Outstanding Project & Team Management Platform — A Year In, We’re All In

We’ve been using Worklenz consistently since last year, and it has become one of those rare tools that actually earns its place in our daily operations.

What immediately sets Worklenz apart is clarity. The interface is clean, intuitive, and thoughtfully designed—no clutter, no unnecessary friction. Within days, our entire team was aligned across projects, clients, timelines, and responsibilities without the usual learning curve that comes with project management software.

The task lists, Kanban views, scheduling, time tracking, analytics, and resource management all work together seamlessly. Nothing feels bolted on. Everything feels intentional. Whether managing internal workflows or client-facing projects, Worklenz keeps momentum high and confusion low.

Performance-wise, it’s fast and reliable. From quick task updates to deeper analytics, the platform feels responsive and stable—something that matters when your team lives inside the tool every day.

What we appreciate most is that Worklenz strikes the perfect balance between power and simplicity. It’s robust enough for serious operations, yet clean enough that it never becomes a burden. That’s a hard balance to achieve—and they nailed it.

After a full year of real-world use, we can confidently say this isn’t just another project management tool—it’s an operational backbone. If you’re managing teams, clients, or complex projects and want visibility, accountability, and flow in one place, Worklenz delivers.

Highly recommended.

Almost Asana + Toggl, But Key Basics Are Missing

I purchased 2 Worklenz codes because we wanted to replace our current process based on Toggl—a fantastic, convenient time tracker with features that speed up logging the workday across multiple tasks.

After more than a month of testing and daily use by me and my team, I’ve concluded that Worklenz isn’t mature yet.

Worklenz seems to have all the ingredients to combine Asana-style project management with Toggl-style time tracking in a single system, but it’s missing basic features like a simple CSV export for time tracking. Right now, you can only export as a PNG. Honestly, what PM needs a PNG export? We need to see project hours broken down by individual tasks.

Starting a timer is also less immediate than in Toggl, which has a top bar that lets you start tracking even without selecting a project. In Worklenz, you have to dive into each project to start the timer, which slows things down. And if you accidentally leave a timer running and stop it without noticing which project it was tied to, it’s not intuitive to find and fix afterward.

What I like least is that CSV export and billable hours/actuals either are or will be locked behind a paid plan starting at $218.75/month (billed annually). That price doesn’t feel aligned with typical AppSumo users.

For these reasons, I can’t give this product more than two tacos right now. I’m happy to revise my review if I’m mistaken about any of the points above.

Hi,

Thank you for your honest feedback! CSV/Excel export and a more intuitive timer are already on our roadmap, and we’re actively working to make reporting and time tracking much smoother. We’re also reviewing our pricing tiers to ensure they’re better aligned with our users.

Your input is invaluable, and we’ll keep you updated as these improvements roll out.
