Q: Hi, great product. Pls clarify, what are coaching programs vs.courses? And ...

What is the emailing system like, the automations features that is? Do we still need to do any manual triggers? If so, pls pass on a link for more info :)
Where is our course data, video (CDN), student info and email list stored (servers)?
Who owns our info and students data? Can we transfer CSV when we want to?
Are there any back up systems available for us (manual) or automated etc?
What are the Security measures, for corporate privacy/security level info and courses & the Moderator/s features like?
Any branding, Cname, API - Webhooks Developer documents &/or Zapier automate info?
Is embedding of our various courses (multi & single) & integrable or presentation based scripts possible?
Is SCORM available or coming?

A: Thanks for the great questions — here’s a quick overview:

Programs vs Courses: Programs organize everything (tasks, forms, courses, events), while Courses are structured learning paths built inside programs. Quick Start Guide

Data Storage: Data is stored on DigitalOcean servers (USA). You fully own your data and can request a CSV export if needed.

Emails & Automations: You control most notifications (when and if they are sent). No full manual backups yet.

API & Zapier: API is available on the Business Plus plan; other plans can use Zapier for automation.

Branding: Custom domain (CNAME) and branding are available depending on the plan.

Embedding & SCORM: SCORM is not supported and not on the roadmap. Full external course embedding isn't supported either.

Security Measures:
We take data privacy and security very seriously.

We work with top-tier cloud providers to ensure secure infrastructure.

We've launched a public bug bounty program where independent developers regularly test and report vulnerabilities.

We’re committed to continuously improving security and aligning with international privacy standards.

Course Limit:
The 15-course limit applies to your entire organization, not per individual coaching program.

Webinar/Video Integrations:
At the moment, upcoach does not offer built-in webinar or video add-on integrations.

Emails and Sending Limits:
All emails are transactional — triggered by platform activities (client invitations, tasks, events, etc.).
Clients can choose to receive notifications hourly, daily, weekly, or not at all.
There’s no hard sending limit for normal coaching usage — the system is designed to support engagement without spamming.

Q: Client UI Translation and E-Mail Customization?

When do you plan translations or the possibility to translate by myself the whole UI primary for the Clients (Admin Area would be a plus)? I would need german to use your product for my clients
Second question: when do you bring back email customization and email translation so that I‘m in control when and what notifications my clients get.

A: Thanks for the great questions!

Regarding UI translations: Most of the client-facing interface is customizable, including building blocks and design blocks. There are a few static elements (like certain button texts such as “Add”) that are not yet editable. The admin panel, however, is currently only available in English and not customizable at this time.

As for email customization, you can fully customize the client invitation email and the program welcome email, including writing them in your preferred language.

However, system-generated notification emails (like assignments, enrollments, etc.) are currently not customizable or translatable. We know this is a common request, and we want to explore ways to give more control in the future.

Q: Can I sell a membership that includes both access to a community AND 2 one on one lessons?

So for example that membership will include access to certain groups, and also the ability to schedule 2 individual lessons per month.

A: Hi! Yes, you can create offers that bundle access to multiple programs — including private (1-on-1), group, and community — using our Stripe integration.

Just a couple of things to note:

upcoach doesn’t currently include a built-in scheduling tool, so you'd need to handle booking those 1-on-1 sessions using an external tool (like Calendly or Google Calendar).

Our Stripe integration supports one-time payments only at the moment — no recurring payments or installment plans (yet!).

While we’re not yet fully GDPR-compliant, we’re actively working toward it and already meet many of the key requirements. For example, until now, client deletion required a manual request — but with an update going live this week, admins will be able to delete clients directly in a GDPR-compliant way.

We take data privacy very seriously. In addition to continuously improving our platform's security features, we also work with top-tier cloud providers to ensure secure infrastructure. Additionally, we’ve launched a publicly announced bug bounty program, where independent developers regularly test our system and report vulnerabilities — which we reward accordingly.

All of this reflects our strong commitment to protecting user data and aligning with international privacy standards. We’re proud to have earned the trust of our users over the years and will continue improving in this area.
