Unfortunately, a huge disappointment – a lot of setup effort for an unreliable and faulty system.

I’ve been testing Snoooz intensively since early June, setting it up and using it in my coaching business. After this time, I unfortunately have to say that my overall impression is very negative. Although the technical setup eventually worked after some initial hurdles, the system behind it is no help in everyday use.
In my business, I manage prospects, onboarding processes, active customers/coaching clients and tried to tailor the system precisely to these categories. I’m well-versed in prompting, AI structures, and logical workflows and invested a lot of effort into building it. Still, the tool fails at the most fundamental tasks.
Main issues at a glance:
Poor Knowledge Base (PDF import):
The PDF import basically doesn’t work. Whether as a large file or split into topic-specific documents, hardly any data was actually imported. Instead, there was a ton of hallucinating and made-up content. Only when I painstakingly uploaded direct FAQ questions as a data source did things improve. The knowledge management is basically unusable in this state – and what annoyed me most is that neither support nor the AI assistant pointed out how massively it matters whether I upload the exact same knowledge as PDFs or as individual FAQs. Having to upload every single question separately and then maintain a huge FAQ table afterwards is incredibly user-unfriendly.
Faulty categorization & weak keyword recognition:
The AI consistently fails to reliably assign incoming emails to the right categories. For example, support emails from service providers (where I am the customer) are regularly sorted as my own active or new customers, even though I set clear exclusion criteria. On top of that, the keyword recognition is extremely inflexible: if a keyword differs even slightly (e.g., “no_reply” vs. “no-reply”), the rule doesn’t apply anymore.
Ineffective spam filter:
Despite very precise keywords and defined filtering criteria (phishing, advertising, etc.), almost every spam and promotional email gets through. Worse, many of these are incorrectly labeled as active customers or prospects. If I end up having to manually check, label, and move every single email, the system loses its purpose.
Prompt character limit too low:
The 3,000-character limit for rule prompts is far too restrictive. Since the system doesn’t work reliably on its own, you have to pack in tons of context in the prompt just to properly access the knowledge base. There simply isn’t enough space for that.
Disappointing support:
After thoroughly engaging with the system and searching for solutions, support seems to have resigned. I haven’t received any response for two weeks despite having open questions.
Conclusion:
I really exhausted every function and optimization possibility, but Snoooz ignores the rules no matter how good the prompts and rules are. Currently, the tool costs me way more time, nerves, and energy than it saves. I’m better and faster copying my emails manually into a local LM-Studio standard AI window with my knowledge base than using an overblown system that fails at its main purpose: correctly reading, categorizing, and answering emails according to categories, rules, and the knowledge base. For me, this was a bad purchase.
If nothing changes, I will return Snooz. The Tier-3 plan simply doesn’t offer value for the price right now.
