Q: Staff/Team

I purchased multiple codes. When redeeming codes I realized the Staff/Team only gets Freelance access which means: No Team Talk access within Projects (internal team communication is hidden from them)
No File access - they can't see or access Files
No Live Chat - they're excluded from the Live Chat feature
Project-only visibility - they can only access Projects they're assigned to, with restricted capabilities within those Projects. This can be limiting. Is this assessment accurate?

A: Q: Staff/Team

Good news, your assessment of the Freelancer role is accurate, but the conclusion about Staff in general is not. Staff are not limited to Freelancer access.

Freelancer is just one of seven Internal Roles, and it sits at the very bottom of the ladder on purpose. It is the role you assign to an outside contractor you want inside a single Project and nowhere else. That is why Team Talk, Files and Live Chat are all closed to it.

When you add a Staff member, YOU pick the role from the Staff Role dropdown. The full ladder:

Super Admin - the license owner, one per account, full access to everything including Manage Account.

Admin - full platform access. Cannot view or edit the Super Admin, cannot touch Manage Account, cannot change white label settings. Multiple allowed.

Admin Manager - same as Admin, but you can optionally grant white label and branding access.

Project Manager - Admin-level in Projects and CRM, no access to Office.

Office Manager - Admin-level in Office and CRM, no access to Projects.

Teammate - limited to assigned Projects, but DOES have Team Talk, Files and Live Chat. This is the normal role for an actual internal team member.

Salesperson - Teammate-level Project access plus wide CRM access. Can create Companies, Contacts, Follow-ups and Goals, can only edit or delete the ones they created, and can Claim a Contact to hide it from other Salespersons.

Freelancer - Teammate minus Team Talk, minus Files, minus Live Chat.

So the four restrictions you listed are all real, and all of them disappear the moment you set the person to Teammate or higher.

One thing worth knowing before you start assigning: roles can only be changed UP the ladder, never down. Teammate to Project Manager is fine. Project Manager back to Teammate is not, because the user may already be attached to assets a lower role could not see. The only way down is to delete the user and re-add them at the lower level. So err toward starting people lower and promoting.

Your codes control how MANY Staff seats you have. They do not control what those seats can do.
